About the Role
- We are a quantitative trading fund based in Hong Kong seeking a highly organized and experienced Chief Operating Officer (COO). In this role, you will be the cornerstone of our non-investment operations, taking ownership of finance, human resources, regulatory compliance, and general business operations. You will act as the primary liaison with our external service providers, auditors, and regulators across multiple jurisdictions.
Key Responsibilities
Finance, Accounting & Payroll
- Manage day-to-day relationships with external corporate accounting and payroll counterparties (e.g., Vistra).
- Process and settle monthly invoices for service providers, landlords, and software subscriptions (e.g., Google Workspace, Microsoft).
- Prepare and submit monthly summaries and invoices in both HKD and USD by the last business day of each month.
- Provide monthly management account materials to external accountants by the 8th of each month (and by the 5th in June and December for FRR submissions).
- Confirm and process monthly employee payroll and reimbursement details.
- Oversee semi-annual management account preparations for our Holdings Ltd.
- Manage the semi-annual Financial Resources Rules (FRR) submission process, including cross-checking files with external compliance consultants (e.g., Kroll) and internal teams, while ensuring AUM numbers are accurate for Form 12 submissions.
- Coordinate the annual audit with external auditors (e.g., East Asia Sentinel), ensuring the ADD is fully prepared, reviewed, and filed to the SFC before the July 31st deadline.
- Evaluate and manage ongoing initiatives, such as Hong Kong tax concessions for carried interest.
Human Resources & Recruiting
- Drive the recruiting and onboarding process for both Full-Time Employees (FTE) and Interns.
- Coordinate the Hiring Committee approval process.
- Oversee comprehensive background and reference checks for all new hires.
- Manage MPF administration, including employee enrollment, terminations, and monthly contribution submissions through the e-MPF portal.
Regulatory & Compliance
- Hong Kong (SFC): Organize and conduct internal compliance training, evaluate applications for SFC Licensed Reps and Responsible Officers (RO), monitor Personal Account Dealing (PAD), and oversee quarterly compliance reviews.
- Japan (FSA / KFB): Ensure timely and accurate annual business reporting.
- United States (SEC/FINRA): Manage US regulatory obligations, including FINRA filings and the annual Form ADV filing (incorporating confidentiality treatments).
Business Operations
- Lead the onboarding process for new trading brokers and manage the completion of annual Due Diligence Questionnaires (DDQs).
- Maintain and manage corporate insurance policies, specifically Director and Officer (D&O) Insurance.
- Spearhead logistical operations, including leading office space searches and managing office renovation projects.
Qualifications
- Proven experience in an operations, finance, or compliance leadership role within a hedge fund, proprietary trading firm, or asset manager.
- Deep understanding of HK SFC regulations, FRR requirements, and cross-border regulatory frameworks (US SEC, Japan FSA).
- Strong vendor management skills with a meticulous approach to deadlines, accounting, and multi-currency reporting.
- Excellent organizational and project management skills to juggle HR, office build-outs, and complex compliance filings simultaneously.
