Reports to: Founder Location: HongKong Employment Type: Full‑time Role Overview We are a quantitative hedge fund manager with a growing footprint in the investment industry. Our founder is actively involved in multiple strategic initiatives and oversees a range of external business engagements. We are looking for an Executive Assistant to provide high‑level administrative and operational support, with a focus on investment‑related workflows, counterparty coordination, and assistance with various business‑related matters. This is not a conventional secretarial position – it sits at the intersection of executive support, investment operations, and external affairs coordination. The ideal candidate will be comfortable handling sensitive documentation, managing multiple relationships, and ensuring accuracy across a broad spectrum of financial and commercial activities. Key Responsibilities: 【Executive & Administrative Support】 -Manage the founder’s calendar, travel arrangements, and meeting schedules to optimise time allocation. -Coordinate internal and external communications with counterparties (e.g., brokers, custodians, legal advisors, investors); organise meetings and prepare minutes with actionable follow‑ups. -Draft, review, and file business correspondence, reports, and contracts; oversee document signing and record keeping. -Liaise with cross‑functional teams to facilitate the execution of special projects and ad‑hoc tasks. 【Investment Operations Support】 -Assist in the establishment and onboarding of new investment entities and accounts, including liaison with custodians, prime brokers, and other financial institutions for account opening and documentation. -Handle KYC / AML due diligence for new investors / counterparties, collecting and verifying required documentation in line with internal policies and regulatory standards. -Support the maintenance of investor / share registers (subscriptions, redemptions, transfers) and monitor key operational dates (dealing, cut‑off, payment schedules, etc.). -Prepare and send capital call / drawdown notices and distribution notices to investors; respond to routine investor enquiries in a timely manner. -Coordinate cash settlements and the payment of various expenses related to investment activities. -Participate in new business / product initiatives, including preliminary research, documentation preparation, and workflow setup. -Act as a gatekeeper for operational processes – ensure deadlines, thresholds, and compliance rules are consistently observed. 【Business Affairs & External Coordination Support】 -Assist the founder in coordinating meetings with external parties (e.g., investment banks, financial advisors, legal counsels, and other professional institutions), including scheduling, agenda preparation, and minute‑taking with subsequent follow‑up. -Support the review process for various commercial agreements, term sheets, cooperation documents, and other legal instruments – tracking key terms, critical deadlines, and ensuring orderly document flow. -Assist in preliminary information gathering, data compilation, and preparation of internal briefing materials in connection with potential business opportunities. -Coordinate communications and document exchanges between onshore and offshore intermediaries to facilitate smooth execution of external cooperation matters. Qualifications Required: -Education: Bachelor’s degree or above (Finance, Economics, Law, Business Administration, or related fields preferred). -Experience: At least 3 years of relevant experience in financial services (asset management, private banking, investment operations, corporate finance, etc.). -Professional knowledge: Familiarity with investment fund structures, operational processes, and compliance requirements; understanding of KYC/AML procedures and account opening practices; general awareness of commercial contracts, legal documentation, and external cooperation workflows. -Technical skills: Proficient in MS Office (especially Excel and PowerPoint) and Google Workspace. Experience with fund administration or project management tools is a plus. -Language: Fluent in English, Mandarin, and Cantonese (both written and spoken; conversational fluency in Cantonese is required). Core Competencies: -Meticulous attention to detail – a “zero‑error” mindset when handling numbers, dates, and transactional records, even under pressure. -High integrity and confidentiality – capable of handling sensitive commercial and personal information with discretion. -Self‑motivated and proactive – able to identify issues and propose solutions independently in a lean team environment. -Excellent interpersonal and coordination skills – comfortable interacting with diverse external parties (investment banks, custodians, brokers, investors, regulators, etc.). -Strong execution and time‑management skills – capable of juggling multiple priorities while maintaining clarity and composure. Nice‑to‑Haves: -Experience with offshore / cross‑border investment structures (e.g., Cayman, BVI, LPF, OFC). -Knowledge of regulatory requirements is a plus. -Background in quantitative hedge funds, multi‑asset investment firms, or private equity / venture capital. -Relevant professional certifications (e.g., CFA, CAIA, or fund practitioner qualification).
